5 reasons why you should start knowledge management today

5 reasons why you should start knowledge management today
Meanwhile — much to our delight — countless (legal) professionals and knowledge professionals have been using Knowlex as a tool to shape (internal) knowledge management for several years. Over the years, our program has developed enormously, and a few innovations are also ready in the coming period. In this contribution, we would like to take a moment to reflect on what these developments have contributed to the absolute added value of (digitized knowledge management with) Knowlex.

In order to arrive at these 5 points, we have had a lot of discussions in recent years with customers, but also with external organizations and experts. From all the feedback we were able to gather, we then distilled Knowlex's five (most prominent) properties.

1. Immediate access to fundamental knowledge (from colleagues)

Thanks to Knowlex, the well-known saying “two people know more than one” is very visibly put into practice. All the knowledge you and your colleagues have collected on the platform can be accessed directly from your mobile device or laptop when you need it. In the car, in a restaurant or even on the beach, you have — if necessary — all available expertise literally at hand.

You can also take the word “immediately” in the title above literally: thanks to its innovative search technology, Knowlex will immediately present results that match your search within a few keystrokes. Our powerful OCR automatically searches the full text of all your documents. In fact, this technology is so advanced that scans and videos are also fully searched.

The various structure options (such as filters or categories) also provide useful support for refining or specifying your searches. All these elements are designed to ensure that your knowledge (and that of your colleagues) is available as quickly as possible, especially when you need it urgently.

2. Increased collaboration and knowledge sharing

A common problem is that organizations or offices are not making optimal use of the enormous amount of expertise that is available internally. Many employees themselves are not or insufficiently aware of the gigantic knowledge (capital) that colleagues have.

When companies start with a platform for exchanging knowledge, they can make maximum use of it and make it available to employees. In this way, they create an open, creative work environment where collaboration is key. Employees can call on each other's expertise and offer support where necessary. In this way, every facet of knowledge can be used to the fullest.

3. Protection against knowledge flight

Is a senior employee leaving your office? By structurally embedding his or her knowledge within Knowlex, you can be sure that your current and future employees will continue to have access to the valuable expertise that your (former) colleague has collected at the office over time.

For offices with a high staff turnover, such protection is certainly valuable. It is also very easy to immediately deny the employee leaving the office access to this expertise. At the touch of a button, access to the office's database is denied, but all knowledge remains available to other employees.

4. More efficient employees and lower costs

A digital knowledge management system involves a visible cost, while the added value is often more difficult to estimate. However, when offices structurally embed knowledge management in their overall operations, the added value (and cost savings) quickly becomes visible.

Since every (knowledge) professional or legal professional needs reliable knowledge and accurate information, it is crucial to be able to have it available quickly. Therefore, when employees systematically create and make knowledge available via Knowlex, they quickly build up an efficient exchange of expertise.

That is exactly what our software does. Employees get immediate access to a searchable (and smart) knowledge database. Using their smartphone, tablet or PC, they can search for the necessary information themselves, without interrupting their work or disturbing colleagues. In this way, knowledge and expertise are available everywhere, resulting in an enormous increase in efficiency.

5. Scalable at lightning speed

A major advantage of Knowlex is that a huge number of employees can have access to the central knowledge hub. Because knowledge exchange logically involves every element of any organization, scalability is fundamental in such cases.

In the past, large offices have therefore regularly started with one department or team that used the platform, and then switched to different departments or even the entire workforce. Thanks to simple and user-friendly accounts management, and the various options available to shape this, it is possible to quickly involve all employees in internal knowledge management and scale if necessary.
